The GCAGS Executive and Convention Planning Committees have put into place the following refund policy for registrants to the 2011 GCAGS convention in Veracruz that was recently canceled:
Registration Fees will be refunded to credit cards as soon as is practical. The refund should appear on credit card statements no later than November.
Pre-ordered Hardbound Transactions volumes will be mailed to all those registrants who paid for a copy with their registration. The cost of the Transactions will not be refunded as part of the registration fee refund. Volume 61 of the Transactions will be mailed directly from the Omni Press plant after it is printed.
Hotel Reservations: Hotel rooms booked at official hotels listed in the Announcement brochure and on the GCAGS webpage were made through ECODSA and should not appear on your credit card statement. Registrants who chose to make their own reservations through other channels will have to seek reimbursement of those charges from the individual hotel.
Registrants were informed of actions taken by ECODSA in an email delivered 9/27/2011, subject line: “Cancelación de reservaciones para 61th GCAGS Annual Convention.”
Exhibitors:
- Those who contracted exhibit space through GEM Global Events Management and paid by credit card will receive a refund via a credit to their cards; those who paid by check will receive refund checks directly from GCAGS.
- Those who contracted exhibit space through ECODSA should please contact Ivan Alor Ortiz (ivan.alor@pemex.com, +52 993 316 27 15) for information regarding the refund procedures.
Sponsors: GCAGS greatly appreciates your generous support and willingness to participate in what we had hoped would be an outstanding convention. Representatives of the GCAGS or the Convention Planning Committee will contact each sponsor individually.
Sponsors have the option to either:
- receive a full refund of their sponsorship dollars or
- continue their sponsorship and help the GCAGS Convention Planning Committee defray costs incurred for the convention.
Sponsors helping to defray convention expenses will be recognized in Volume 61 of the Transactions and a in later ad to be placed in the AAPG Explorer.
